The quoted transportation price generally includes the selected vehicle, professional chauffeur, tolls, gratuity, applicable taxes, fuel, administrative costs, and real-time flight or traffic monitoring. Your proposal will also identify the service duration, routing assumptions, and any itinerary-specific conditions. If the scope changes after confirmation—such as additional service time, an added vehicle or stop, or parking or access costs not included in the original proposal—the concierge team will review the change and advise of any adjustment. Any payment-method fee, if applicable, is disclosed before payment.

We recommend arranging private transportation as soon as the essential itinerary is known, particularly for private aviation, multi-vehicle or multi-day schedules, major New York events, peak travel periods, or requests for a specific vehicle class. Earlier planning gives the concierge and operations teams more room to protect vehicle availability, routing, staging, and timing. Short-notice requests can still be reviewed 24/7, but availability depends on the date, route, vehicle requirements, and operating conditions. A complete itinerary is not required to begin; share what is confirmed and we will identify what else is needed.

Vehicle selection begins with the itinerary—not simply the number of travelers. We consider passenger count, luggage, route, timing, access conditions, service format, privacy requirements, and any stated vehicle preference. Once the arrangement is confirmed, operations finalizes the vehicle and chauffeur and briefs the chauffeur on the relevant schedule, reception approach, communication protocol, and special instructions. Chauffeurs are professionally vetted, background-checked, and NDA-bound. Specific makes or models are honored where possible, but final assignment remains subject to availability and operational requirements; where necessary, an appropriate equivalent or higher-capacity vehicle may be assigned.

We also monitor traffic and operating conditions that may affect the journey. The objective is not simply to track the aircraft, but to coordinate chauffeur positioning and the broader itinerary around the latest available information. If a flight is diverted, canceled, or changed substantially, the concierge team will work with the designated contact to revise the arrangement, subject to vehicle and chauffeur availability.

Yes. VIP NYC Transfers can coordinate changing, multi-stop, multi-vehicle, and multi-day itineraries for executives, private families, delegations, and guest groups. Rather than treating each movement in isolation, the concierge team can manage the schedule as one operating plan—vehicle configuration, pickup windows, routing, sequencing, standby time, luggage, split or rejoining groups, and communication between the relevant parties. If timing, locations, passenger information, or instructions change, please send the revised details as soon as possible. We will reassess vehicle and chauffeur availability, routing, downstream movements, and any timing or pricing implications, then confirm the revised arrangement in writing. For complex schedules, we recommend one primary coordination contact so instructions remain consistent. A requested change should not be considered confirmed until VIP NYC Transfers has accepted it.

Chauffeurs are vetted, background-checked, and NDA-bound, while booking and itinerary information is handled through controlled systems with access limited to those who need it to deliver the service. We minimize unnecessary disclosure of names, schedules, destinations, and preferences, and can follow communication protocols established by a client, executive assistant, family office, or security team. Chauffeurs are also expected to respect boundaries and maintain a discreet presence throughout the journey.

What information is required to confirm a service?

Accepted Answer

To begin planning, you do not need a fully finalized itinerary. Please share what is confirmed: service date, approximate pickup time, pickup and destination, number of travelers, estimated luggage, relevant flight, meeting, or event details, any fixed arrival deadline, the primary coordination contact, and known privacy or communication requirements. Vehicle preferences and special instructions should also be included when relevant. To secure the service, the concierge team must have enough information to finalize the itinerary and service structure, and payment is required in accordance with the proposal. The arrangement is confirmed once VIP NYC Transfers issues written confirmation.

What is your cancellation policy?

Accepted Answer

Cancellation terms depend on the type and timing of the service. For standard reservations, cancellations made more than 7 calendar days before service are eligible for a 100% refund; between 7 days and 72 hours, 50%; within 72 hours or in the event of a no-show, the service is non-refundable. For high-profile events, private and corporate events, and peak-demand periods, cancellations made more than 45 calendar days before service are eligible for a 100% refund; between 45 and 30 days, 50%; within 30 days or in the event of a no-show, the service is non-refundable. Cancellations must be submitted in writing. Refunds are subject to the payment-processing-fee provisions in the current Terms & Conditions, and any itinerary-specific terms in the confirmed proposal also apply.
